How it works: We build it, connect it, train it and run it.

A service with a defined process, defined deliverables and a defined timeline. This is the long version — or book a setup call and we’ll talk it through.

The process

Four steps, about ten business days.

Timings are typical for Starter and Growth. Meta’s business verification is the one part we can’t control; we tell you what it needs on day one.

  1. Day 1

    Step 1: The brief

    Outcome

    A written brief — one to two pages — that we both approve. It's the reference for what the assistant will do, and for our first-month guarantee.

    What we do

    • A 30-minute call. We ask how you sell: what, to whom, at what prices, with which delivery or booking rules, in which hours and languages.
    • We go through the questions your customers actually ask and how you'd like each one answered.
    • We agree what the assistant should never do, and when it should hand the conversation to a person.

    What you do

    • Send what you already have: a price list, catalogue, website, policies, screenshots of past chats. Nothing needs to be tidy.
    • Tell us who on your team receives handovers and how (WhatsApp, email, or both).
  2. Days 2–6

    Step 2: Build and train

    Outcome

    A working assistant you've chatted with, plus the list of what it knows — which you can ask to see at any time.

    What we do

    • Write the assistant's knowledge from your material and its behaviour from your brief: what it answers, quotes and asks, when it books, when it sends a payment link, when it steps back.
    • Set the tone and languages, and the guardrails: no invented prices, no medical or legal advice, no pretending to be a person.
    • Test it against realistic conversations built from your real questions, and fix what breaks.

    What you do

    • Try it yourself on a test number and tell us what feels wrong. Most clients spend 20 minutes on this.
  3. Days 5–8

    Step 3: Connect your number

    Outcome

    Your number live on Meta's platform with the assistant behind it, still in test mode until you say go.

    What we do

    • Set up the WhatsApp Business Platform (Cloud API) inside your own Meta Business portfolio, so the account and the number remain yours.
    • Register the number, submit your display name, set the business profile, and connect the assistant.
    • Take you through Meta business verification step by step and tell you exactly which documents Meta will accept.

    What you do

    • Give us access to (or let us create) your Meta Business account, and confirm the number by SMS or call when Meta sends the code.
    • If you're moving a number from the WhatsApp Business app, back up your chats first — we'll tell you how and when.
  4. Day 7–10, then every month

    Step 4: Go live and keep it working

    Outcome

    A running service, not a project that ends. Growth and Managed plans add a monthly review call.

    What we do

    • Switch it on and watch the first days closely, tuning answers as real conversations come in.
    • Update the assistant when your prices, hours, stock or policies change — you tell us, we change it.
    • Monitor delivery health and Meta quality rating so your number stays in good standing.
    • Send a monthly summary: what it handled, what it handed over, what it couldn't answer, and what we changed.

    What you do

    • Handle the conversations it hands you. Tell us when your business changes. That's it.

  2. 02An AI assistant built and trained on your business, tested and approved by you against your written brief before go-live
  3. 03The behaviour and handover rules from your brief, configured and documented
  4. 04The integrations included in your plan (payment links, booking, order status, sheet or CRM), configured as agreed
  5. 05Ongoing operation: monitoring, fixes, updates when your business changes, and answer changes within your plan's allowance
  6. 06A monthly written summary; a monthly review call on Growth and Managed
  7. 07Support by email (all plans) and WhatsApp (Growth and Managed), within the response times stated on the pricing page
  8. 08On request, an export of your conversation data and, if you leave, handover of administrator access to your accounts

What managed means

Setup is the start. The service is the point.

An assistant is only useful while it’s accurate. Prices change, stock changes, a new question shows up every week. The monthly fee pays for someone to keep up.

We read the conversations
A sample every week and every miss it flags. That's how the answers get better.
We make the changes
New price list? Closed for a holiday? Send it over. On Growth and Managed there's no cap on answer updates within fair use.
We watch the connection
Webhooks, tokens, Meta's quality rating and template approvals. If something breaks at 3 a.m., that's ours to notice.
We report plainly
One page a month. What it handled, what it handed over, what it couldn't answer, and what we did about it.
We stay honest about the AI
When a model gets better, you get the better model. When something is beyond what it can reliably do, we route it to a person.
We make leaving easy
Cancel in one email. We hand over admin access and export your data. If it isn't earning its fee, you shouldn't be paying it.

What it won't do

The limits, stated up front.

An assistant that oversells is worse than none. Every assistant we build follows these rules.

It won't invent prices, stock or policies.
If the answer isn't in what you gave us, it says so and hands over. Every miss is logged and we add the answer.
It won't give medical, legal or financial advice.
For clinics and advisers it explains services and books the appointment. Advice comes from your professionals.
It won't pretend to be a person.
It introduces itself as an assistant and says so if asked. Handovers are explicit: the customer knows a person has taken over.
It won't message outside WhatsApp's rules.
No unsolicited blasts, no messages outside the 24-hour window without an approved template, nothing that risks your number's quality rating.
It won't hold or handle money.
It sends the payment link from your own provider. Payments go to you, through your provider, under your terms.
It isn't for everyone.
If you get a handful of messages a week, or you want a DIY tool you'll configure yourself, we'll say so on the first call.

Technology

What it runs on.

WhatsApp Business Platform (Cloud API). Meta’s official interface for businesses. Messages travel between your customer and Meta exactly as they would in the app; Meta delivers them to us and we deliver the replies. No unofficial clients, no phones in a drawer.

Language models from established providers. Current-generation models from providers such as OpenAI, Anthropic and Google, chosen per client for quality in your language, under terms that prohibit training on your data. The assistant answers only from your material and its instructions; it doesn’t browse the web.

Our own orchestration. The layer that holds your knowledge, applies your rules, decides when to hand over, calls your integrations and keeps the logs. Hosted in the United States, encrypted in transit and at rest. Details in the Privacy Policy.

Requirements

What we need from you.

  • A registered business. Meta verifies businesses, not individuals — usually with a registration document, proof of address, and a website or social profile.
  • A Meta Business account. If you don't have one we create it with you; it stays in your name.
  • A phone number that can receive an SMS or a call for verification. Your existing WhatsApp Business number works; so does a new one.
  • Someone on your side to receive handovers — a person's WhatsApp, an email address, or both.
  • Your materials: price list, catalogue, policies, hours. Rough is fine; that's what the brief is for.
  • About an hour of your time in the first week, and a few minutes a month after that.
